JOB SUMMARY

Responsible for opening the main office to the public during business hours, Mon-Fri 9am-2pm. Greet and assist visitors as they come in a polite and professional manner. 


WORKING RELATIONSHIPS

Works closely with the Clinic Director and other Clinic staff.


ESSENTIAL JOB FUNCTIONS

1. Greet and assist visitors

2. Respond to emails and routinely check for new incoming messages.

3. Answer phones, listen to voicemails, return messages, forward messages to appropriate staff in a timely manner

4. Keep office area, kitchen, front lobby, bathroom, and storage areas clean and orderly 

5. Wash all dirty laundry/bedding; dry, fold, put away 

5. Maintain inventory of office supplies and reorder as needed; restock office supplies

6. Check mail; log monetary donations and forward invoices/bills to bookkeeper

7. Write and send thank you letters/tax receipts to donors 

9. Process and sort donations, provide tax receipt

10. Create monthly Spay/Neuter schedule for South Georgia Low Cost Spay/Neuter Clinic (SGA) and communicate the list to SGA. Input data into Clinic HQ Volume Portal for all spay/neuter appointments. Contact and send reminders for customers the Monday prior to the clinic. Prep carriers the day prior to transport. Assist the public the morning of and during pickup the day of surgery. 

11. Process payments for SGA surgery dates

13. Train and supervise office volunteers and/or community service volunteers 

14. Keep log of volunteer and community service hours 

15. Take out trash at end of day. Place outside cans at curb every Monday. 

16. Scoop litter, top off food and water for any animals staying on site if no animal care volunteer is available. 

17. Scan found cats or dogs that are brought to the building for microchip. 


EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, ABILITIES

1. Client Education

    a. Must be able to learn basic veterinary medical concepts including but not limited to

        vaccine protocols and anesthetic risks

    b. Must also be able to communicate basic veterinary concepts to public and be able to

 repeat information relayed by a veterinarian

    c. Will be asked to communicate with the public on a daily basis in a professional manner

2. Physical Requirements

    a. Must be able to work standing or sitting for 8 or more hours

    b. Must be able to lift and carry up to 50 pounds repeatedly throughout the day with help

    c. Must be able to bend and kneel repeatedly

    d. Must be able to see fine detail in a variety of situations

3. Technical Requirements

    a. Technical proficiency with Mac and PC platforms, as well as Microsoft Office.

    b. Must be able to answer and respond to two phone lines.


PREFERRED

Two or more years experience in a veterinary clinic, veterinary hospital, and/or animal shelter or

control facility. Candidate should be highly motivated, enthusiastic self-starter with a

professional attitude.


WORK ENVIRONMENT

The offices and operations of this department can be high stress and very busy at times. This

position is part time, and may sometimes require weekend or evening hours to complete the job. Can include working some holidays or evenings depending on needs. Candidate must be flexible with schedule changes and short notice requests.
